Terms of service

SnagGrid is software for capturing local issues — photographs, location and a description — and turning them into clear, well-evidenced reports and casework. It is provided as a hosted service at snaggrid.com and on workspace subdomains. Each workspace is set up and run by the organization group that created it; that group is the data controller for the people and reports in its workspace, as described in our privacy notice.

You are responsible for keeping your password secure and for activity under your account. Tell your workspace administrator promptly if you think your account has been compromised. You must give accurate details and be old enough to enter a contract under the law that applies to you. Accounts and workspaces are for the people and organization they were created for; do not share access with people who are not entitled to it.

You agree not to use SnagGrid to:

• submit unlawful, defamatory, harassing or knowingly false content, or photographs taken in breach of others' rights;
• upload malware, attempt to gain unauthorised access, probe or disrupt the service, or circumvent its security or rate limits;
• use the service to send spam or unsolicited bulk messages, or for any purpose other than genuine issue reporting and casework;
• scrape, resell or repackage the service, or use it to build a competing product.

Your workspace administrator may suspend or remove accounts that breach these rules.

SnagGrid uses AI to help draft and tidy report wording from what you capture. AI can make mistakes. You are shown the draft and you remain responsible for reviewing and approving it before it is sent. Nothing the AI produces is legal, technical or professional advice.

You and your organization keep ownership of the reports, photographs and other content you put into SnagGrid. You grant us only the limited permission needed to host and process that content so the service can work (for example storing photographs and sending reports). We do not sell your data or use it for advertising. You can export your data and, where you are a reporter, delete your account and reports — see the privacy notice.

SnagGrid is currently offered free of charge during its public testing period; no payment is taken. If paid subscriptions are introduced, the price and terms will be shown clearly before you are asked to pay, and you will not be charged for the testing period you have already used.

We work to keep SnagGrid available and reliable, but the service is provided on an "as is" and "as available" basis. We do not promise it will be uninterrupted or error-free, and we may carry out maintenance, change features, or suspend access where reasonably necessary. We are not the emergency services: never use SnagGrid to report something that needs an urgent or emergency response.

Nothing in these terms limits liability that cannot be limited by law (such as for death or personal injury caused by negligence, or for fraud). Subject to that, and to the fullest extent permitted by law, we are not liable for indirect or consequential loss, loss of profit, data or goodwill, or for content submitted by users. Where the service is provided free of charge, our aggregate liability to you is limited to $100.

You may stop using SnagGrid at any time. We, or your workspace administrator, may suspend or end access if these terms are breached or where reasonably necessary to protect the service or other users. If a workspace is closed, its data is deleted in line with the retention periods in the privacy notice.

We may update these terms from time to time — for example to reflect new features or legal requirements. The current version is always shown on this page with the date below. Continuing to use SnagGrid after a change means you accept the updated terms.

These terms are governed by the laws of the jurisdiction in which SnagGrid's operating entity is established (to be confirmed here). Your workspace may also be subject to the operating organization's own policies; where those conflict with these terms for that workspace, the organization's policies prevail for matters within its control.
